Registered Community Groups

In January of 2024, the Select Board adopted a building use policy that established a program for Tyngsborough-based Community Groups to register and be able to utilize existing municipal meeting space for meetings of their groups.

This policy permits eligible groups to register annually, for a $50.00 fee to participate in the program. Registered groups are then able to use specially designated municipal spaces for meetings of their group at no cost. This program does not permit the use of municipal spaces for events, fundraisers, or other large scale programs.

In order to determine your eligibility and before registering, please read the policy below. Groups must agree during the registration process to adhere to all rules outlined in the policy. This policy applies to all groups with no exceptions.

Once you have reviewed the policy above please follow the instructions below to register your group.

Process

1) Register online as a community group using this link. Registration is valid for one year from approval date and must be renewed by the community group. Registration is not automatic. Registrants will be asked to confirm that they have read, understood, and agree to the terms of use as described in the above policy. All registrants must review the policy before submitting an application.

2) Once your registration is approved, you are able to book the meeting space in accordance with the use policy. Groups are restricted to using space under this policy no more than two (2) times in any calendar month. Requests to schedule a meeting must be made at least fourteen (14) days in advance and cannot be made further than sixty (60) days in advance.

Requests may be made for any time during the periods outlined below, excluding federal, state, or local holidays.

Monday through Friday 4:00 PM to 9:00 PM
Saturday 8:00 AM to 5:00 PM
Sunday 8:00 AM to 1:00 PM


Use of the meeting space is "as is" and no staff are provided from the Town. Groups are required to leave the meeting space in the same condition as they found it and shall comply with all rules for use in the above policy. Violation of the policy will result in a group's registration being revoked.

To submit a request for use, simply email administration@tyngsboroughma.gov with the following information:

Group Name, Responsible Party Name (as appears on the registration), Requested Date of Use, Time of Use, Reason for Use, and expected number of guests.

Reservations are made on a first-come, first-serve basis.

As of April 1, 2024, the Town is making only the large meeting room of the Council on Aging (169 Westford Road) available for use under this policy.
